Why would everyone file a claim? All that needs to happen is the insurance company be given proof of the insured's death--including when they died--and they will pay the beneficiary.

Right, but there's no reason for more than one person to notify the insurance company that the insured has died.
Once the insurance company has been notified and received proof of death (death certificate in most cases) they confirm that death took place while the policy was in force and then they cut a check to the beneficiary or beneficiaries.
There's no need for a beneficiary to necessarily notify the insurance company. Take for example a situation I was in not that long ago when my grandmother died. She had a very old whole life policy she bought years ago and had been paid up for years. She named one of my aunts the beneficiary with the instructions that the policy was for final expenses (now this could have been a huge mistake and I wouldn't recommend that anyone necessarily set things up this way). When she died, none of her daughters knew how to handle the death claim so I took care of notfying the insurance company, they then contacted the beneficiary and sent her the check.
Now, if this was a group plan through an insurer, you'll never have an actual policy. If it's an individual policy then the original does exist but it's not needed to file a claim.
Record keeping does make the process run much more smoothly, which you are discovering at the moment. Take special note of this and do the ones you care about a favor and make sure you have good records of your own affairs.
